Job description
In This Role, Your Responsibilities Will Be:
- Provide continuous administrative and operational support to project teams and finance partners throughout the project lifecycle.
- Coordinate project bookings, order entry activities, and revenue recognition processes while ensuring data accuracy and timely completion.
- Monitor project progress through regular reviews and communicate updates, key milestones, risks, and issues to relevant stakeholders.
- Prepare, maintain, and distribute reports, workbooks, and project-related documentation to support informed decision-making.
- Support workflow creation, process improvements, and escalation management to help address project challenges efficiently.
- Collaborate with project managers, quotation specialists, finance teams, and other cross-functional partners to ensure seamless project execution.
- Support project management activities in alignment with established organizational standards, policies, and procedures.
- Create and maintain part extension requests, product records, submittals, and project updates within Oracle and other applicable systems.
- Manage project-related changes within Oracle, ensuring accurate records throughout the project lifecycle.
- Monitor project budgets, identify potential financial concerns, and proactively communicate risks.
- Gather, organize, and maintain complete documentation packages required for inspections, shipments, and customer deliverables.
- Ensure documentation is accurate, complete, and submitted according to project timelines.
- Establish and maintain project schedules and track key milestones to support successful project delivery.
- Support project billing activities, including invoice generation, milestone billing, and tracking billing events.
- Assist with project revenue recognition activities, cost monitoring, transaction reviews, and financial reporting.
- Partner with Finance to investigate and resolve billing discrepancies and maintain financial accuracy.
- Support project closure activities, including releasing holds, reviewing completion requirements, and confirming financial closeout within Oracle.
- Interpret and apply company policies and procedures consistently across project administration activities.
- Foster strong teamwork and collaboration across departments to support business goals and customer success.
- Demonstrate a commitment to Environmental, Health & Safety (EHS) practices by identifying and reporting hazards, completing required training, participating in safety initiatives, and contributing to a culture of continuous improvement.

- Experience supporting project administration, order management, customer support, operations, finance, or related business processes.
- Experience working in a manufacturing, industrial, engineering, service, or project-based business environment.
- Proficiency using ERP systems, CRM platforms, and Microsoft Office applications.
- Strong organizational skills with the ability to manage multiple priorities while maintaining attention to detail.
- Effective verbal and written communication skills and the ability to collaborate with cross-functional teams.
- Analytical and problem-solving skills with the ability to identify issues and support timely resolutions.
- Ability to work independently while contributing positively to a team environment.
- Working proficiency in English.
- Availability to work the scheduled hours of 12:00 PM to 09:00 PM.
- Bachelor's degree in STEM, Business, Finance, Operations, Engineering, or a related field, or equivalent combination of education, training, and relevant experience.
Preferred Qualifications That Set You Apart:
- Experience supporting automation, engineering, manufacturing, or industrial projects.
- Knowledge of project billing, milestone invoicing, revenue recognition, and financial reporting processes.
- Familiarity with Oracle or other enterprise ERP platforms.
- Understanding of international logistics, including Incoterms, payment terms, and regional taxation considerations.
- Experience working with project schedules, project documentation, and order fulfillment processes.
- Exposure to continuous improvement initiatives, workflow development, or process optimization.
- Ability to analyze project financial data and identify trends, risks, or opportunities for improvement.
