As a Leisure Sales Coordinator, this client-facing role requires expert administrative skills and knowledge of Leisure and/or Group Convention Sales within a convention hotel environment. You’re not just supporting event delivery – you’re spreading the light and warmth of hospitality by delivering memorable experiences that make the stay for every guest.

Responsibilities

Here's what you'll do during a typical day:

  • Support the Director of Leisure Sales in developing and executing strategies to attract leisure and corporate travelers.

  • Handle leisure inquiries via phone, email, and in-person, providing timely and accurate information about resort offerings and services.

  • Prepare proposals, contracts, presentations and follow-up communications for clients.

  • Maintain accurate records of client interactions, inquiries, production and special requests.

  • Review and maintain accuracy of partner content (photos, descriptions, amenities, room types) on all third-party channels.

  • Collaborate with Front Office, Reservations, Marketing, and Operations teams to ensure seamless guest experiences.

  • Assist in organizing promotional campaigns, amenities, events, giveaways, and trade shows targeting leisure markets.

  • Work closely with the Transient Coordinator to confirm reservations for preferred accounts and manage rooming lists.

  • Review daily arrivals to identify leisure, VIP, corporate, and consortia reservations as directed.

  • Respond to online inquiries from travel agencies, advisors, and direct consumers.

  • Coordinate projects and activities, including attending meetings, taking notes, and following up on assigned tasks.

  • Schedule and assist with site inspections of the property.

  • Collaborate with the Site Experience Manager on Leisure FAMs and tradeshows.

  • Support on-property requests and reservations while the Director of Leisure Sales is traveling.

  • Ensure accurate and timely booking, check-in, and check-out procedures in collaboration with Reservations and Front Desk teams.

  • Respond promptly to preferred account inquiries, special requests, and complaints, ensuring an exceptional guest experience.

  • Assist in setting up amenities, welcome notes, and VIP requests.

  • Maintain detailed reports on account lists, concessions, transient production, and trends.

  • Assist with training Front Office staff on preferred account procedures, required concessions, and account systems.

  • Contribute to the development of leisure experiences and activations in alignment with marketing initiatives.
