Position Summary

This position will assist the Director of the Duke Global Health Institute in the direction of his operational agenda for DGHI as well as his scientific interests and responsibilities that fall outside of the scope of his position with DGHI.  They will draft and develop internal and external communications and manage the priorities of the Director in the areas of communications, philanthropy, research, and vision.

Position Description:

Coordinate and participate in meetings with faculty members to determine objectives of the program and/or center and to support the DGHI Administrative and Development teams to identify internal and external resources available to meet those objectives.  They will provide context, background information, and draft briefs to the Director/Constituents on issues.

Develop and maintain excellent working relationships with staff, faculty, Institute, and University leadership (including the President, Provost, Dean of the School of Medicine, and the Vice Provost for Interdisciplinary Programs), on behalf of the Director.  They will understand, triage, and understand the priorities of the Director when navigating these relationships and can speak on his behalf.

When appropriate, serve as the Director’s liaison with outside educational and professional organizations and agencies to explore implementation of specialized programs at Duke and to encourage participation in specified programs.  Able to travel with the Director to outside events, and/or speak on the Director’s behalf.

Able to coordinate arrangements for special programs/speaker series that fall outside of the scope of DGHI business but are scientifically or professionally important for the Director.

Assist in the preparation of grant proposals and applications to include compilation of data and preparation of budget expenditures; monitor and verify expenditures; ensure compliance with University and the sponsoring agency policies and procedures; prepare administrative reports for submission to sponsoring agency.

In the name of and alongside the Director, interpret and create program protocol, procedures, and operating policies of the Director’s specific research interests/expertise, and assist with developing course content for academic courses the Director offers.

Prepare relevant documents to assist the director, including scientific publications, biosketches, research proposal documents, slide decks (as assigned by the Director for specific audiences).

Prepare operational reports and analyses reflecting progress, adverse trends, and appropriate recommendations or conclusions.

In coordination with the DGHI Administrative Director, DGHI Director of Communications, and the DGHI Director of Development (when appropriate), serve as departmental liaison with administrative personnel concerning University policies and procedures, grant administration, and budgetary preparation and control.

Supervise and coordinate the work of designated employees (specifically the DGHI receptionist/administrative assistant, who will directly manage the Director’s expense reports and corporate card clearing as well as to order supplies), reviewing completed work for adherence to instructions or correctness.

Assist the Director in mapping out his schedule, navigating Director-level responsibilities as well as personal research/professional agendas.

Minimum Requirements:

Education

Work requires a general business background, generally equivalent to a bachelor's degree in a business-related field.

Experience

Work requires 2 years of related business or administrative experience to become familiar with general personnel practices, accounting and budgeting principles and coordination of major office activities.

A master's degree in a business-related field may be substituted for 2 years of experience.

Anticipated Pay Range: Duke University provides an annual base salary range for this position as USD $61,026.00 to USD $88,434.00. Duke University considers factors such as (but not limited to) scope and responsibilities of the position; candidate's work experience, education/training, and key skills; internal peer equity; as well as market and organizational considerations when extending an offer.
